Mandatory e-invoicing for small businesses – what you need to know now!

From 2025, the receipt of electronic invoices will be mandatory in Germany, even for small businesses. We have prepared the most important information for you here.

What is the e-bill? Why is it being made mandatory?

An e-invoice is an electronically created and transmitted invoice in a structured format (e.g. ZUGFeRD, XRechnung) that is machine-readable and legally standardized. It differs from a PDF in that it can be processed automatically.

The e-billing obligation has several objectives:

  • Promoting digitalization and more efficient business processes
  • Combating VAT fraud through better control
  • Implementation of EU directives (2014/55/EU) for standardization
  • Reduction of time and costs for companies
  • Adapting to the international trend to facilitate global trade

Small businesses are also affected by the e-invoicing obligation, even if they are exempt from many other tax obligations. In future, they must be able to receive and archive electronic invoices and also create and send them from 2030.

E-invoicing obligation for SMEs: Important facts for small businesses

From 2025, all companies in Germany, including small businesses, will be obliged to use electronic invoices. This means that from January 2025, you must be able to both receive and properly archive electronic invoices.

The sending of e-invoices will also become mandatory in subsequent years: The original plan was to implement the changes in 2028. However, on November 5, 2024, the EU Council decided to postpone the start date to July 1, 2030.

Important for the transition

Companies and self-employed persons who do not prepare for the introduction of e-invoicing in good time run the risk of losing tax advantages or even being subject to penalties. Timely adaptation to the new requirements is therefore crucial. Targeted preparation is the key to avoiding problems and ensuring a smooth transition.

However, the introduction of suitable e-invoicing software and the adaptation of internal processes are not only crucial in order to meet legal requirements. They also help to increase efficiency and transparency in invoicing processes. Companies that do not take these steps early on could be excluded from the benefits of digital invoice processing, such as faster payment processing and a reduced error rate.

Timely action is crucial

The switch to e-invoicing in 2025 will require adjustments to existing processes and systems. Companies should introduce suitable software solutions at an early stage in order to meet the legal requirements and ensure smooth integration.

In this context, e-invoicing software not only facilitates compliance with regulations, but also offers advantages such as faster payments, reduced susceptibility to errors and better traceability.

Clean Desk: Efficiency and order at the workplace

Clean Desk: Efficiency and order at the workplace
Arrow
  • News

In the modern working world, the concept of the clean desk is not just a buzzword, but an effective method of promoting order, efficiency and safety in the workplace. But what exactly does clean desk mean, what advantages does it bring and how can it be implemented in practice? This article sheds light on these aspects and shows how the dataglobal Group’s solutions make a decisive contribution to implementing the clean desk principle.

What does Clean Desk mean?

The clean desk principle aims to keep the physical workplace as free as possible of unnecessary documents, equipment or objects. This means not only removing clutter, but also ensuring that sensitive information is securely stored or digitized. The approach not only supports organizational efficiency, but also contributes to compliance with data protection guidelines such as the GDPR.

The advantages of a clean desk

A tidy workplace offers numerous advantages:

Increased productivity:
Studies show that people work more efficiently in a tidy environment. A clean desk reduces visual distractions and ensures that employees can concentrate better on their tasks. There is no need to search for documents or work materials as these are either digitized or stored in a sensible way.

Greater security:
A clean desk minimizes the risk of sensitive information being exposed and viewed by unauthorized persons. This is particularly important in offices open to the public or in shared desk environments. The digitalization and secure storage of data makes it easier to comply with legal regulations such as the GDPR.

Professionalism:
A tidy workplace conveys professionalism and competence. This leaves a positive impression on customers, visitors and colleagues and promotes a pleasant working atmosphere.

Stress reduction:
Psychological studies have shown that clutter can cause stress. A clean workplace contributes to a calming, clear working environment and can reduce mental stress. Employees feel more comfortable and more relaxed at work.

Sustainability:
The digitization of documents significantly reduces paper consumption. This not only protects the environment, but also saves costs for paper, printers and storage. Companies can therefore also make a contribution to their sustainability goals with a clean desk concept.

Improved collaboration:
In tidy and organized offices, it is easier to work together on projects. Information is quickly accessible and the shared use of digital resources promotes teamwork.

Efficient use of workspaces:
A clean desk enables flexible use of workspaces. Especially in modern office concepts with shared desk or remote working, a tidy environment makes it easier to switch between different workstations.

Implementation of the clean desk principle

The introduction of the clean desk principle requires a well thought-out combination of organizational measures and technological support. The dataglobal Group’s innovative solutions make the path to a paperless, efficient and modern working environment much easier.

Document management systems (DMS)
A document management system like dataglobal Group’s enables the digitalization and central management of documents. Employees can access the information they need at any time and from anywhere – completely paperless. This keeps the desk free of mountains of files.

Secure document archiving
Centralized, secure archiving is the key to implementing the clean desk principle. The dataglobal Group’s solutions guarantee that all documents are stored in compliance with the GDPR and can be retrieved quickly if required.

Efficient e-mail archiving
Emails often contain important business information that needs to be managed securely. With email archiving from the dataglobal Group, the digital inbox remains clear while valuable content is reliably archived. This reduces the need for printouts and keeps the workplace tidy.

Digital invoice processing
The digitization and automation of invoice processing reduces the need for paper documents to a minimum. The dataglobal Group solutions integrate seamlessly into existing systems and ensure that all invoices are stored securely and centrally. This not only makes processes more efficient, but also more transparent.

Practical tips for implementation

In addition to the use of technological solutions, there are also some practical tips for anchoring the clean desk principle in everyday working life:

  • Establish daily routines: Schedule a few minutes at the end of the working day to tidy up your workspace.
  • Minimize personal items: Keep your desk free of unnecessary personal items.
  • Define clear rules: Determine together with your team how the clean desk will be implemented.
  • Regular review: Check whether the measures are being adhered to and optimize them if necessary.

Conclusion

The clean desk principle is more than just a method for improving workplace organization – it is a strategic approach to promoting efficiency, safety and sustainability in companies. By combining clear organizational guidelines and modern technological solutions, companies can achieve significant benefits.

The dataglobal Group offers a comprehensive portfolio of solutions for this, from document management systems to e-mail archiving and business process management. These technologies not only make it easier to implement the clean desk principle, but also help to optimize work processes and increase efficiency. The digitalization and automation of documents and processes minimize the administrative workload and free up time for the actual core work.

In addition, a tidy and well-organized workplace promotes the well-being of employees. Less clutter means less stress and a clearer focus on the tasks at hand. This has a positive effect on productivity and employee satisfaction.

Last but not least, the clean desk principle also contributes to sustainability. The reduction in paper consumption and the efficient use of resources underline a company’s commitment to environmental and climate protection. At a time when sustainability is becoming increasingly important, this is another important aspect.

In summary, a clean desk is not just a question of tidiness, but an investment in the future of the company and its employees. With the right technologies and a clear strategy, any workplace can be transformed into a productive, safe and sustainable environment – a real win-win for everyone involved.

ELSTER phishing: beware of fraudulent emails

ELSTER phishing: beware of fraudulent emails

In the modern working world, the concept of the clean desk is not just a buzzword, but an effective method of promoting order, efficiency and safety in the workplace. But what exactly does clean desk mean, what advantages does it bring and how can it be implemented in practice? This article sheds light on these aspects and shows how the dataglobal Group’s solutions make a decisive contribution to implementing the clean desk principle.

Phishing campaigns target ELSTER users

Just under six months ago, the Thuringia Ministry of Finance warned of a wave of phishing attacks in which fraudulent emails relating to electronic tax returns (ELSTER) were circulating. As many citizens and companies use ELSTER for their tax affairs, there was an increased risk of the scam being successful.

Users were directed to fake websites that were used to steal account data, access information or credit card details. There was also a risk that malware such as viruses or Trojans could find their way onto the devices of those affected.

New ELSTER phishing in circulation (as of January 2025)

The current ELSTER phishing uses a similar method and lures the recipient with an alleged tax refund for the last tax year (in this case 2024).

Among other things, they are asked to provide their ELSTER access data and bank details in order to receive the outstanding amount. There is also a threat of account blocking if the steps are not taken, as “active participation in this process” is mandatory. The websites appear authentic, but have no connection with the real ELSTER platform.

The ELSTER website also provides information about the current phishing campaign.

How to recognize counterfeits

The fraudulent messages have several peculiarities that should make you suspicious:

  • The form of address is impersonal (“Dear customer”).
  • Pressure is exerted by urging immediate action.
  • There are threats of disproportionate penalties, such as the blocking of the ELSTER account.

Protect yourself!

Do not open any links or attachments and do not disclose any personal data. The tax administration does not send tax data or invoices as e-mail attachments and does not request sensitive information by e-mail.

Recommendation: If you receive suspicious e-mails, contact the company or authority directly via the official channels to verify the authenticity of the message. Do not reply to the e-mail under any circumstances and do not follow any instructions contained therein.

In addition to these measures, we recommend using software to protect your email communication. Opt for a professional email security solution and minimize the risk of becoming a victim of cybercrime.

The interview series with employees of the dataglobal Group

Lina Dillhardt (Working student in Marketing)

How long have you been working for the dataglobal Group?

I have been working for the dataglobal Group for about a year now, since 01.04.2023.

What are your tasks as a working student in Marketing?

I mainly support the marketing mailings and our social media activities. From time to time, I also create a few presentations and keep our digital filing structure clean and tidy 😉

What excites you most about marketing at the dg Group?

I particularly enjoy the variety of my tasks. I don’t do the same thing every day and have a lot of variety. I’m always learning something new, which not only helps me in my day-to-day work, but also in my studies.

“I’m not “just” seen as a working student, but as a full member of the team and have the same tasks and responsibilities as everyone else.”

What do you think are our most important marketing goals in the near future?

Of course, we want to increase our brand awareness and create a wide reach through social media in particular, but we also want to generate more leads through the webcasts that we hold regularly and advertise in advance.

What do you think is going really well in marketing? What successes have we had in the recent past?

Our marketing department is already doing very well. The fact that we now process everything from a Group perspective makes our work much easier. As we now use a cross-location marketing tool, we can now send mailings to all customers and partners, regardless of the business unit, and no longer have to go to the trouble of creating each mailing several times.

Our social media strategy is also bearing fruit: with our LinkedIn account, we have managed to gain more followers and cracked the 300 mark in the first quarter.

And of course, our first trade fair appearance as the dataglobal Group was also a great success for us. It was a lot of fun and the stand attracted a lot of attention, especially thanks to the great design.

How is the cooperation with colleagues and the general cooperation in the team and in the Group in general?

I work in a great team and the collaboration works very well. In general, I can say that it’s fun to work in a group, because no matter who I need input from, from which department and from which location, I always get feedback quickly. So the collaboration works really well.

How would you describe the corporate culture of the dg Group in your own words?

It’s a bit like a start-up in that a lot of things are being rethought. It’s very relaxed, even though we set ourselves clear goals that we work towards. The flexibility at work makes for a pleasant working atmosphere.

Would you recommend the dataglobal Group as an employer? Why?

In any case!

Thank you very much for the interview, Lina!
