borders since its foundation. The owner-managed company, still based in Rastatt and soon to be based in Karlsruhe, has offices in Frankfurt, Stuttgart and Freiburg, among others, and employs more than 500 people. Together with its sister companies, it defines itself as a full-service provider for “all aspects of real estate”.

E-mail archiving and business process control
The fact that the real estate properties built by weisenburger are characterized by above-average construction quality is just one aspect of many others that characterize the company as exceptional. The company is also fully committed to innovation and progress in the area of internal IT and was therefore voted one of the top 100 most innovative companies in Germany in 2017. weisenburger uses the enterprise content management system (ECM system for short) windream and other products from the Bochum-based business software manufacturer windream GmbH to manage business-relevant documents and control internal business processes. For weisenburger, “building the future” also means allowing internal company structures to grow in the same way as building objects and thus always acting in a future-oriented manner – down to the last detail.
Individual and industry-specific use of software
In total, 320 licenses of the windream system and further windream components are in daily use at weisenburger. The targeted selection of software components alone clearly shows how individually and at the same time industry-specific modern software tools can be used, especially in the construction industry:

- The windream ECM-system, which is mainly used for the administration of construction files;
- the e-mail archiving solution windream Exchange for the administration and archiving of all e-mail communication as well as;
- the windream BPM system for controlling and modeling internal business processes.
Construction files with “contact-based” indexing
Purely electronic file management based on an IT-supported system plays a central role in weisenburger’s internal business processes. In this context, the focus is naturally on files with industry-specific content – the construction files. They contain all electronically recorded information that is important in connection with the associated real estate properties, from customer correspondence and contracts to possible complaints and all other documents relating to a specific construction project.
weisenburger creates and manages these electronic construction files in the windream system. In order to be able to find the stored information in the files quickly and at any time, all files are created according to certain criteria which are specifically tailored to the company’s needs. Indexing, i.e. the “keywording” of the files, is always contact-based. This also applies in particular to the management of contracts and contract-related documents. Put simply, indexing is generally based on the motto “Who with whom?”. It is important to note that indexing is not or may not be carried out by users according to purely manual criteria. The purely contact-based indexing achieves a stringent system based on a simple, catchy and efficient principle. And, incidentally, it is of course obvious that targeted access to the information stored in the electronic files can be achieved much more quickly than with a time-consuming trawl through paper archives.
The fact that a search for information can be carried out in a very efficient, time-saving and accurate way is due to the various and easy-to-use search options offered by the windream ECM-system.
Automated e-mail archiving with 500 mailboxes
Furthermore, the windream Exchange software solution for archiving and managing the e-mail correspondence at weisenburger is “connected” to the windream system. The archiving of electronic messages takes place both on the client and on the server side. While the mails are archived fully automatically on the server side and without manual intervention by the users, certain mails can also be moved by the users on the client side, for example from one mailbox (folder) to another
box. Speaking of mailboxes: In total, the windream solution for e-mail archiving monitors 500 (!) different mailboxes at weisenburger. All mails from these mailboxes are archived systematically and completely.

For weisenburger, the very good cooperation with the manufacturer windream
has always been of fundamental importance during the entire project, and this still applies. The company’s employees responsible for the windream project find the honest and open interaction with each other extraordinary and particularly valuable. They emphasize that this is the really important prerequisite for the success of such a project.
And the project is – as of January 2019 – far from being completed. weisenburger plans to purchase further licenses for software products in order to further expand the areas of application of the windream software solutions.
