How vysoft meets the requirements of modern university operations
With the construction of an innovative new university building, the University of St.Gallen was confronted with the urgent need to introduce a powerful and flexible system for managing rooms and bookings. The previous solution could no longer meet the increased requirements in terms of user-friendliness, adaptability and technical integration.
A room management system must be both robust and flexible, especially in everyday university life, where room requirements can change quickly and a large number of stakeholders are involved. The decision was made in favor of vysoft RMS, a SharePoint-based solution from the dataglobal Group that is specially tailored to such challenges.
New requirements need new solutions
The newly constructed university building was not only architecturally modern, but also organizationally demanding: high frequency of use, flexible room concepts and changing requirements of different departments and internal user groups made a simple yet efficient solution necessary.

The ability to seamlessly integrate vysoft into the existing Microsoft 365 infrastructure was a key factor in the decision. Existing systems could be connected, processes digitized and internal workflows made more efficient. The university benefited in particular from the SharePoint basis of the solution, which meant that existing data structures could be retained and used.
A quick and smooth introduction
Despite the complexity of the project, the implementation of the system went remarkably smoothly. This was not only due to the flexibility of the product, but also to the close and solution-oriented cooperation with the vysoft development team. Individual requirements were quickly taken into account. In some cases, customer-specific extensions were even implemented – proof of the adaptability and service orientation.

The project participants particularly praised the accessibility, solution orientation and technical expertise of the vysoft team. Challenges were quickly identified and resolved together, which further accelerated the implementation process.

Improvements in everyday life and flexible use
After the introduction of vysoft RMS, a noticeable added value for university operations quickly became apparent. Daily room planning work was significantly simplified, booking processes were made more efficient and transparency regarding room usage was increased. Individual use cases could also be implemented without major
effort – for example in the organization of events or the management of temporary room reservations.
The system not only proved to be functionally reliable, but also adaptable in daily practice. Areas of application that were not originally included in the standard scope were opened up by creatively expanding and using existing functions.

A project with future prospects
Although vysoft is currently only being used in one part of the campus, the university team is convinced by the solution. The experience gained in the new building is regarded internally as a benchmark for modern room management. Although no decision on a campus-wide introduction can be made at this stage, the course has been set.
